CANCELLATION POLICY

CANCELLATION POLICY

It is our promise to you that we will:

1) Be clear about costs by providing a full written treatment plan before undertaking any treatment.

2) Present various treatment options.

3) Help you to make an informed choice about treatment options.

In return, we request a prompt payment of fees before the appointment is due. We understand that some treatments are done in stages over a few months – for those treatments, we split the cost of treatment in instalments and request you to clear these payments before you attend the appointment.

We accept all major credit/debit cards, Google Pay and Apple Pay. We do not accept payments by Cheques.

To help you spread the cost of your dental treatments, we also offer an option of dental finance that can be arranged for a minimum of 6 months and up to 60 months.

NHS Registration Policy

If you receive NHS care, we do not charge for missed or late cancelled appointments; however, we may terminate your treatment and ask you to pay again for a new course of treatment in the event of a missed or late cancelled appointment (within 48 hours of appointment time.)

If you fail to attend or cancel two appointments with less than 48 hours’ notice within twelve months, we will no longer be able to offer you further NHS treatment at the surgery. We will advise you to find a new NHS dentist.

To keep your NHS registration, you must:

  • attend all your appointments or cancel well in advance
  • keep your contact details up to date
  • please ensure that you visit your dentist regularly (and don’t leave it for longer than two years!)

We review our NHS registered patients every two years and non-attendance in two years will lead to automatic de-registration so we can offer your space to patients on our waiting list. If de-registered, you are no longer able to receive NHS treatment at this practice. If you wish to rejoin, you will need to join our waiting list. For more information, please read NHS Guidelines here.

Private Care, Membership Plans & Hygienist Appointments

We request a notice of 48 hours if you wish to cancel or reschedule your appointment.

If you fail to attend appointment or cancel/reschedule within 48 hours of your appointment time, we reserve the right to make a charge as follows:

  • New patient examinations: 100% fee payable
  • Emergency appointments: 100% fee payable
  • Hygiene visit: 100% fee payable
  • Sedation/Oral Surgery/Root Canal/Implant appointments: 100% fee payable
  • Free consultations: £50
  • Any other treatment is £1 per hour for the scheduled duration of the appointment.

This charge will be debited to your account with us. If you have not paid a deposit, settlement of this charge will be required before treatment can continue.

Appointment Reminders

As a courtesy, we send text, and email reminders well before the appointments are due. We are unable to guarantee successful delivery as reminders rely on several external factors such as text, email, internet service providers, or an uninformed change of mobile number or email address. We recommend not relying solely on reminders sent by us as we will not be responsible for non-delivery of the reminders due to reasons explained above. It remains your responsibility to attend the appointment. All reminders are stored on our system for an audit trail.

Our approximate schedule of reminders is:

  1. Appointment cards issued at the time of making a booking
  2. Email reminder – 30 days, 3 days and 1 day before your appointment
  3. Text messages – 2 days before your appointment
